AI Document Importer

What This Is

The AI Document Importer lets you upload your tax documents directly, so your accountant doesn't need to chase you for paperwork or type everything up by hand. You simply upload your documents and tell us where they should go — our AI reads them, and your accountant reviews everything before it's added to your account.

Getting Started

  1. From your software dashboard, select Document Importer from the left-hand menu.

  2. This opens the Document Importer in a new browser tab.

Creating a New Bundle

A “bundle” is simply a batch of documents you're uploading together — for example, all your July paperwork.

  1. Select Create new bundle.

  2. Give the bundle a name you'll recognise later (e.g. “July documents”).

  3. Check the tax year is correct.

  4. Optional: add any notes that might help — for example, anything unusual about this batch of documents.

  5. Select Create.

Uploading Your Documents
  1. Drag and drop your documents into the upload area, or select Browse files.

  2. Accepted file types are PDF and images (JPG, PNG). CSV, Word, and RTF files aren't currently supported.

Note: If you're uploading a photo of a document, make sure it's a clear, full, front-on image. Angled or partial photos may not be read correctly.

Assigning a Business Source

For each document, you'll need to tell us where it belongs. This helps our AI put the information in the right place. Use the table below as a guide:

Business Source

What it's for

Example documents

Self-employed business

Transactional income/expense items specific to your self-employed business.

Bank statements, expense receipts for the business, CIS payment and deduction statements.

Landlord business

Transactional income/expense items specific to your rental property business.

Rental statements, mortgage statements, gas safety inspection invoices, property maintenance expenses.

Uncategorised

For large bank statements (more than 3 pages long). The transactions are imported into Record Keeping as unassigned — exactly like a bank feed — so they can be categorised individually, or picked up automatically by your existing transaction rules.

Large bank statements (more than 3 pages long).

Import straight into the tax return

For documents where the totals should feed directly into your tax return, rather than being broken down into individual transactions.

Tax certificates, investment packs, CGT summaries, P60s, pension P60s, bank interest statements.

If every document in this batch belongs to the same source, untick Select Individually to apply one source to all of them at once. Otherwise, choose a source for each document individually from the dropdown.

  1. Once every document has a source assigned, select Upload.

Assigned the Wrong Business Source?

If you selected the wrong business source for a document, don't worry — you can fix it before it's imported:

  1. Go back into the bundle.

  2. Delete the document using the red bin icon next to it.

  3. Re-upload the document and assign it to the correct business source.

The document will then be re-analysed with the correct source applied. Documents can't have their source changed after upload — they need to be removed and re-added.

What Happens Next

  1. Your documents will show as Analysing while our AI reads them — this generally takes about a minute per document, depending on its size.

  2. Once ready, your accountant will review the extracted information before anything is added to your Record Keeping or Tax Return.

  3. You don't need to do anything further once you've uploaded and assigned your documents — your accountant will take it from here.

A Few Things to Keep in Mind

  1. Large bank statements (more than 4 pages) are best assigned as Uncategorised rather than to a specific business.

  2. Your documents are held within the Document Importer for your accountant's review — this is a normal part of the process.

  3. This tool currently supports documents for the 2025–26 tax year, with support for 2026–27 documents being refined.
